Role Overview
The Sales Operations team's goal is to make buying from VoCoVo as easy as possible while driving best-in-class operational performance.
As Sales Operations Data Administrator, you will ensure our data remains accurate, accessible and actionable as we transition to a more sophisticated BI reporting environment. While our new BI tools will handle strategic KPI reporting, this role will fill the critical gap between high-level dashboards and day-to-day operational reality; maintaining data quality, fulfilling ad-hoc requests, supporting process improvements and providing surge capacity for the Sales Operations team.
This role is ideal for someone who thrives on problem-solving and project work rather than pure BAU maintenance. You'll work across systems (Unleashed, HubSpot, Jira, Google Sheets) to keep our data clean, support the Sales Ops Specialists with operational tasks during peaks and drive forward initiatives that improve how we work. As order volumes continue to grow, you’ll play a key role in maintaining accuracy, continuity and operational excellence as we scale.
Please note; this role is hybrid, with two days per week spent in our Shipton-under-Wychwood office (Tuesday & Wednesday), there may also be ad-hoc instances where you spend one of these two days at our Cheltenham office.
What we're looking for
Demonstrable experience of working in operations, data administration or a similar detail-oriented role, ideally within a fast-paced commercial or technology focused environment.
Strong working knowledge of multiple business systems, with the confidence and curiosity to quickly learn and adapt to new tools and platforms.
Excellent attention to detail, with a proactive mindset toward data accuracy, consistency and integrity.
Practical experience in data entry, maintenance, validation and ongoing data quality management processes.
Strong exposure to Excel/Google Sheets, including lookups, pivot tables and core formulas.
Experience supporting cross-functional projects and contributing to process improvement initiatives that enhance operational efficiency.
The ability to balance structured operational responsibilities with project-based work, shifting focus as priorities evolve.
Strong problem-solving skills, with the ability to investigate issues independently and propose practical, well-reasoned solutions.
A clear and confident communicator who can translate data into meaningful, actionable insights for non-technical stakeholders.

Experience using systems such as Unleashed, HubSpot, Jira or other comparable ERP/CRM/project management tools.
An understanding of sales operations, order management or revenue-related workflows.
Exposure to basic data analysis or reporting, including generating insights to inform decision-making.
Experience working in a scaling or high-growth environment where processes are evolving and adaptability is key.
Familiarity with pricing structures or commercial operations.
What you'll do
Maintain high levels of data accuracy and integrity across core systems (Unleashed, HubSpot, Jira).
Conduct regular data audits and proactive clean-up activities to prevent reporting or operational issues.
Update pricing information and product data as required.
Identify and resolve data inconsistencies before they impact reporting or operations.
Support data entry requirements as systems and processes evolve.
Fulfil ad-hoc data requests from Sales, Finance and other teams that fall outside standard BI reports.
Extract, manipulate and present data in formats that support business decisions.
Bridge the gap between high-level BI dashboards and specific operational questions.
Provide surge capacity for Sales Ops Specialists during peak periods (order processing, invoice support).
Support day-to-day operational tasks, enabling the rest of the team.
Help manage order processing workload as volumes continue to grow.
Support the Sales Operations Manager and Specialists with process improvement initiatives.
Create and maintain clear documentation for repeatable processes.
Assist in the development of tools, templates and assets that streamline team productivity.
Participate in system implementations and transitions to ensure smooth adoption.
Collaborate closely with the Sales team to support their data and reporting needs.
Partner with Finance on pricing, invoicing and order-related queries.
Salary
Salary range: £33,000 - £40,000
